Overview screen

The status board at the top of the tournament admin: its phases, counts, next moves and handoff rows.

Overview is the first screen of a tournament's admin and the one to open when a director needs to know what is blocking the tournament. It reads the tournament's data and reports where it stands, what is waiting and which screen clears each item. It changes nothing itself: the page states that nothing is resolved on this screen, and every row links to the one place where it can be fixed.

The screen is the first item in the left rail, at /tournaments/<id>/admin. After a tournament is created, the browser lands here with a notice that reads Tournament created, followed by a statement that everything entered can be changed in Setup, with a link to Setup.

The header

ElementWhat it shows
OverviewThe page title.
Status pillThe tournament's current state in short form. With a round in play it reads the round's state and name, followed by the round's place among the planned preliminary rounds. The round states are Upcoming before release, Released until the round starts or a ballot arrives, Live after that, and Complete once every ballot is decided. Before any round exists the pill reads Registration Open, Setup or Completed.
Call to action buttonThe next step for the phase being viewed, such as Open judges, Open ballots or the label of the next round to prepare. The button links to the screen that holds the step.

The four phases

A strip under the header holds four buttons: prepare, prelims, elims and wrap. The tournament's own phase is detected from its data and marked with a dot, and the strip carries the note Phase is detected, not chosen. Selecting another button shows that phase's counts and moves without changing the tournament. The choice is kept in the address as ?phase=, so a link opens on the same phase.

PhaseThe tournament is in it whenCounts shown
prepareNo round exists yet.Judges against the judges needed, Check-in opens, Entries paid against registered, and when the first round starts.
prelimsA preliminary round exists and no elimination round does.Ballots in against ballots expected, the running round with elapsed time, Checked in, and when the next round starts.
elimsAt least one elimination round exists and the tournament is not complete.Elimination rounds running, panels, and when the next round starts.
wrapThe tournament is complete. How long the tournament ran, what was published, and when awards happen.

Counts

The row of counts sits under the strip. Each count has a value, sometimes a denominator and a short detail line. A count whose tone is blocked or partial is colored to match.

CountPhaseHow it is computed
JudgesprepareConfirmed judges against the rooms needed, which is about one room for every two entries. The detail line says how many are short, or that the pool is enough for the draw.
Check-in opensprepareShows a dash, because no opening time is recorded. The detail line reports how many entries have arrived out of those registered.
EntriesprepareRegistered entries that are paid, against all registered. The detail line names the unpaid count, or All paid, and the number of schools.
Round startsprepareThe first round's scheduled start. The detail line reads Paired, or Not yet paired followed by the judges needed.
Ballots inprelimsSubmitted ballots against ballots expected. The detail line counts ballots that are past twenty minutes.
Checked inprelimsEntries checked in against registered. A dash with Check-in not in use appears when the desk is off and nobody has checked in. The draw itself does not read check-in.

Headline and moves

Under the counts, a headline sentence states the situation, for example that the judge pool covers the rooms needed, or that some ballots are out and the next round cannot be paired until they land. Beside it, a phrase such as Two moves will clear it counts the rows below, and reads Nothing to do here when none remain. The headline is red when a blocking move exists and amber when every move is soft.

Each move is a row with a title, a detail line and a button that links to the screen able to clear it.

The handoff, live

The section headed The handoff, live lists the layers that depend on one another, each with a status and, for most, a link. It reads from top to bottom as the order in which the tournament becomes visible to people.

LayerWhat it reports
EntriesHow many entries are registered and paid. Links to Field, Registrations.
RoomsRooms confirmed against rooms needed, and whether the round's rooms are posted. Links to the Rooms section of Setup.
JudgesConfirmed judges against rooms needed.
The roundWhether the draw is made, and whether it is released fully, partly or not at all.
CompetitorsWhether competitors can see their room, judge and bracket.
AcknowledgedHow many seated judges acknowledged their room. Reads Waiting for release before a release and names the judges still waiting.
StandingsProvisional while ballots are out, then final through the round.
PublicWhether the schedule and pairings are posted, and whether the bracket is public.

Closeout card

A card headed Finish and Closeout closes the page. Its pill reads Not finalized or Complete. The button Closeout on Records opens Records, where Finalize and the closeout packet are. See Results and closeout.

Preview participant views

Below the console, a panel headed Preview participant views opens the pages a competitor, a judge, a coach and a public visitor see, while the director stays signed in. See Public page and help.

Tasks

Find what is blocking the next round.

  1. Open Overview in the left rail.
  2. Read the headline under the counts. It names the blocking condition.
  3. Read the rows under the headline. Each row has a button on its right.
  4. Select the button on the first row. The screen it opens holds the control that clears the item.
  5. Return to Overview. The count and the row update when the underlying data changes.

Look at another phase without changing the tournament.

  1. Select a phase button in the strip, for example elims.
  2. Read the counts and moves for that phase.
  3. Copy the address if another person should see the same phase. The address carries ?phase=.
